Setting Your Business Process Foundations
What We Do
We work with service-based business owners to help them optimise their systems in order to save time and increase capacity for growth.
By spending time together, we can target areas of inefficiency and streamline your workflow.
.
We are here to put the pieces of the puzzle together so you have a cohesive business process.
The easiest way to know if you need a strategy is with one simple question ‘Are you running your business or is your business running you?’
Strategies.
Businesses often have an idea of what their ideal workflow looks like however subtle difference can make a huge impact. Strategies are tailored to each individual client as no two businesses run the same (even if they are in the same industry). We analyse your workflow, so every step is reviewed. The aim of a strategy is to streamline your process and find solutions for your bottlenecks and weak areas so you can remove the chaos and gain back control.
Businesses can’t be high performing if they don’t have good foundations. During the Strategy process we will look at the Who, Why, What, When and How.
Systems.
Systems are an integral part of any business in today’s world; however, technology is changing at a rapid rate. Whether it is utilising your existing systems or integrating new ones, it all has to work to support your process. Systems should serve a direct purpose and not just be technology that you have accumulated over time.
When researching systems for your business I review both industry specific and general systems, so we can cover your workflow in the most streamlined approach. It is important that you feel comfortable using your technology as it will only ever be as good as the information you put in it. This has to be something you enjoy using so choosing the correct system for you is a careful process. Full training and help sheets are provided and we always have growth in mind.
We provide you with tools so you can adapt over time, let’s maximise your systems!
Work smarter not harder!
Automation.
Automation can either be your best friend or worst enemy. Don’t fall into the same trap that some big corporations did a few years ago. Automation should never be used to remove your personalised approach to your clients. Instead, it should be used for repetitive tasks and on streamlining your workflow so you can spend more time ensuring customer service is provided.
The aim here is to save time, increase efficiency and also ensure that each client has the same customer experience as the next regardless of how busy you become. Automation can help you scale so let’s utilise it.
Productivity.
Don’t hire before you are organised. If your workflow and processes are inefficient then your staff will be too. Streamlined workflows, efficient systems and automation is only the start. Once this is all in place, we can then look at process mapping, task procedures, templates and check lists. If your processes are well documented and you then decide to hire or outsource, you know your contractors and staff will be equally as organised and therefore efficiency and standards can still be met. This step is one that is often missed however it is an integral part of growth and scaling your business.
In order for your business to provide a quality service, we need to ensure everything is designed to support streamlining, efficiency and consistency. Process documents can be tweaked and changed as you grow so there is always a business manual at hand.
It is also essential to have these process documents when you sell your business. Small businesses often rely on intellectual property and in order for this to be saleable business you need to ensure it can run without you.
Procedure documents will ensure efficiency and consistency can be met, don’t miss this integral part of the process!

What People Say
Vicky has been assisting me for over twelve months now and her services have been excellent. She is accurate, timely, and professional in her approach and the services she provides. Since the time Vicky commenced with my practice, she has always had the best interests of my clients and practice at heart.
I have changed to Apple Mac and new systems and Vicky was able to transfer all these systems in liaison with my technician. She added to my client database, reconfigured my new diary and she coordinated our systems to correlate together whereby documents can be accessed on a ‘team system’.
Vicky makes my appointments ensuring the least travelling time, prepares all of my Invoices, emails these to my contractors, manages the system of reconciliation of payments against invoices, manages my diary and assists with my systems & apps to do so. She liaises with my Tax bookkeeper, IT technician and contractors as required.
She is therefore invaluable to me!
Vicky is simply a uniquely insightful person and a delight to work with. I initially engaged Vicky’s service to handle excess workload in our financial planning practice. I was extremely pleased to find that not only did she have an existing, in-depth understanding of our industry that she immediately applied but the speed at which she learned and adapted to the way we executed our business was nothing short of remarkable.
To us, client communication is everything. Not only was Vicky able to strike up an immediate rapport with all that she spoke to, in a short space of time she introduced and developed effective communication systems that we continue to use to this day.
Not wanting to stand in the way of great success and if Vicky hadn’t been so excited and intent on developing her own business, I’d have employed her full time without hesitation.
Vicky offers a very user-friendly and important service that I am certain a lot of small business people would die for.
I run a Boutique Hairdressing Salon and I am always running short on time, not to mention the constant challenge to keep up with posting on social media, photographing my work, writing Blog for my Web Site.
Vicky is invaluable to me; she came into my salon and got straight onto my computer. One Drive, DropBox, Instagram … A few hours work and like Magic everything is sorted, and my brain is feeling very uncluttered.
I didn’t realise how much I needed assistance but my decision to commit to Vicky’s service every few weeks has taken a lot of pressure off me and is allowing me to free up my time. So now I can get on with doing the creative side of my business.
A big hug to Vicky.
